Terms & Conditions

Please read carefully:

Art. 1 Purpose

(1)  These are the Terms and Conditions applicable to all services offered by the Eurasia Model United Nations 2010 conference (EurasiaMUN), its secretariat, and staff jointly and severally in direct connection or association to EurasiaMUN.

(2)  In the following the term “delegation” refers to both: individual delegates and groups of delegates.

Art. 2 Admission

(1)  No delegate will be admitted to the conference that is younger than 18 years at 12 May 2010.

(2)  No delegate will be admitted to the pre-conference trip that is younger than 18 years at 10 May 2010.

(3)  During the application process and at the time of the conference, each applicant must be enrolled at a university. Exceptions can be made on a case-to-case basis.

Art. 3 Registration and Payments

(1)   EurasiaMUN has three registration phases:

Early Bird Registration: 15 February – 15 March 2010 (reduced conference fee)

Priority Registration: 16 March – 15 April 2010

Late Registration: 16 April – 5 May 2010 (Late Registration will be cancelled if all spots have been filled during Priority Registration)

(2)   Within two days after the submission of the online application, each delegation will be notified whether the application has been accepted. However, an application for participation in the conference is considered confirmed, i.e. successfully completed, only after all conference fees have been transferred to and received by EurasiaMUN.

(3)   The conference fee is 55 Euro per delegate (50 Euro during Early Bird Registration); no other currency is accepted. It includes lunch and coffee breaks on Thursday, Friday and Saturday, and access to all social events. The fee excludes accommodation, costs for breakfast and dinner, and travel expenses.

(4)   The pre-conference trip fee is 40 Euro; no other currency is accepted. It includes a guided city tour, entrance to the television tower, the “Alter Peter” and an official visit to the Bavarian State Chancellery. Furthermore, it includes day tickets for public transportation in Munich and transfer to Passau on Wednesday. The fee excludes accommodation, costs for food and drinks, and travel expenses.

(5)   All fees have to be transferred to EurasiaMUN’s bank account after the submission of the online application within two weeks in one lump sum. The respective bank information will be mailed to the participants along with the e-mail of acceptance. Applications will be confirmed after the complete amount has been received. EurasiaMUN does not pay for bank charges of any kind. In case the delegation fails to submit the fees within two weeks after application, the enrolment will be cancelled.

(6)   If EurasiaMUN reaches capacity before 15 April 2010, EurasiaMUN reserves the right to select delegations to attend EurasiaMUN based on a) time of registration and payment b) country of origin of the delegation to ensure the maximum diversity of countries represented at the conference. Those delegations not selected will be informed on 18 April 2010, and will be placed on EurasiaMUN’s waiting list.

(7)   The conference fee is non-refundable, unless a delegation has been placed on the waiting list but is ultimately unable to attend due to capacity constraints.

Art. 4 Financial Assistance

(1)  EurasiaMUN offers a limited number of fee waivers (waiving conference fees) and travel grants to those who would otherwise be unable to attend the conference due to limited school funding or personal constraints. We especially encourage delegates from developing countries to apply. For information on how to apply please contact the Director of Finance (Monika Seidel).

(2)  Fee waivers and travel grants will be distributed only upon the completion of all committee sessions at the end of the conference. Delegates must be present at every session in order to receive their financial aissistance award. Committee Co-Chairs are the only individuals authorized to determine attendance. The Director-General has the discretion of refusing to reimburse delegates if the above conditions are not met.

Art. 5 Liability

(1)  Participants are expected and obliged to obey the laws of the Federal Republic of Germany while participating in EurasiaMUN. Participants are personally responsible for all charges and damage to facilities of the conference and social events venues.

(2)  EurasiaMUN does not provide liability insurance for the protection of individuals or groups who participate in the conference.

(3)  Each individual and group agreeing to these Terms and Conditions releases and discharges EurasiaMUN, its secretariat, and staff jointly and severally from any and all actions, causes of actions, claims, liabilities, costs, obligations and demands, including without limitation attorneys’ fees and expenses for, upon or by reason of loss, damage, injury, or death, which hereafter may be sustained by participating in any activities connected with EurasiaMUN. This involves especially compensation, in part or in whole, for losses, damages, injuries or death incurred at or in connection with EurasiaMUN.

(4)  All offers and information published by EurasiaMUN, including but not limited to those on the website www.eurasiamun.org, might be subject to change without further notice. EurasiaMUN reserves the right to terminate any contractual relationships resulting from or related to its offers and information at any given time. EurasiaMUN cannot be held accountable for changed offers and information and excludes any claims possibly resulting from terminations of contractual relationships. EurasiaMUN reserves the right to exclude specific individuals from its offered services. EurasiaMUN excludes any legal actions on the side of the individual related to a possible exclusion.

Art. 6 Privacy

EurasiaMUN reserves the right to use all data without limitations submitted by individuals via the website www.eurasiamun.org, sent to EurasiaMUN by other ways, and collected during the conference and social events including video footage and photographs. EurasiaMUN reserves the right to collect data during the conference and social events including but not limited to personal data, video footage, and photographs without further notice.

Art. 7 Intellectual Property

EurasiaMUN claims copyright on all of the data available on the website www.eurasiamun.org, including but not limited to the EurasiaMUN logo, format and screen design of the website, on all other data related to and released by EurasiaMUN, and on all contents created during or for EurasiaMUN, or those that are submitted to EurasiaMUN. EurasiaMUN claims copyright on all of its printed material. All rights are reserved.

Art. 8 Country Assignment

(1)  Country assignments will take place after the closure of Priority Registration on 15 April 2010. Priority in assignments will be given to those delegations, which registered early. Submitting a country preference is not a guarantee of receiving this country assignment, and all decisions of the EurasiaMUN Secretariat with regard to country assignments are final. The registration fee will not be refunded even if a delegation does not accept its country assignment.

(2)  The EurasiaMUN Secretariat reserves the right to remove spots from an already assigned country in the event that the delegation fails to fill all the assigned spots.

Art. 9 Committee Session Policy

(1)  Individual delegates are expected to be in their respective committee rooms during committee sessions. In order for delegates to leave their committee rooms for an extended period of time their Chair must be informed ahead of time.

(2)  All delegates are expected to abide by the committee dress code (western business attire).

Art. 10 Smoking, Alcohol and Drug Policy

(1)  The State of Bavaria prohibits smoking indoors in public spaces. Delegates will not be permitted to smoke inside the conference venue or inside social event venues.

(2)  Open containers of alcohol may not be carried around in committee rooms and hallways at the conference venue.

(3)  Delegates found possessing or using illicit drugs, as defined by local federal law, during the conference or at social events will be required to leave immediately and may be held criminally liable.

Art. 11 Expulsion From the Conference

(1)  The Secretariat reserves the right to immediately expel delegates from both the conference and the conference venue due to unacceptable behaviour or violation of these Terms and Conditions. The Secretariat reserves the right to define appropriate conference behaviour and is particularly sensitive to issues involving displays of disrespect to other delegates, or the conference staff.

(2)  If a delegate is dismissed from the conference, his delegation is automatically disqualified from conference awards.

Art. 12 Exceptions to the Terms and Conditions

(1)  The Director-General (Arne Schröer) and the Director of Administration (Mirjam Kolmar) of the conference are the only staff members empowered to grant exceptions to these policies or other general EurasiaMUN practices.

(2)  EurasiaMUN is not liable for any erroneous statements made by other staff members regarding exceptions to fees or policies.

Art. 13 Court of Jurisdiction and Validity of Rules

(1)  Court of jurisdiction for all legal troubles resulting from or related to this agreement and contractual relationships with EurasiaMUN is Passau, Germany.

(2)  Even if any of the above rulings should become ineffective, all remaining rulings of this agreement remain legally binding.
